Velarc Privacy Policy

This policy explains what information Velarc collects, how we use it, when we share it, and the choices you have. It applies to the Velarc website and product.
Information we collect
- Account information — your name, email address, a hashed version of your password (we never store passwords in plain text), and the product settings tied to your workspace.
- Files you upload — the source and output files you provide, along with derived metadata such as structure, mappings, and run history that the service needs to learn and run your pipelines.
- Usage and technical data — operational logs, product telemetry, timestamps, and error details used to keep the service reliable and secure.
How we use your information
- Provide, operate, and maintain the product and your workspace.
- Learn pipelines, run them, and preserve output history for your account.
- Secure the service, investigate failures, and prevent abuse.
- Communicate with you about your account, as described below.
- Understand usage and improve the product experience.
Email communications and your choices
We use your email address to send two kinds of messages:
- Account and service email — transactional messages required to operate your account, such as sign-up confirmation, password resets, security notices, and important changes to the service. You cannot opt out of these while you hold an account, because they are necessary to provide the service.
- Optional product email — if we send product updates, tips, or announcements, every such message includes an unsubscribe link. Opting out will not affect your account or the transactional email above.
We send email through a third-party email delivery provider, and we do not sell or rent your email address.
How we share information
- We do not sell your personal information.
- Service providers — we share limited information with vendors that help us run Velarc, such as cloud hosting and storage, email delivery, and payment processing, only as needed to provide the service and under obligations to protect your data.
- Legal and safety — we may disclose information if required by law, to enforce our Terms, or to protect the rights, safety, and security of Velarc, our users, or the public.
- Business transfers — if Velarc is involved in a merger, acquisition, or sale of assets, your information may transfer as part of that transaction.
Data retention and deletion
We keep account information and uploaded files for as long as your account is active or as needed to provide the service. You can request account deletion or ask questions about your data by emailing john@tryvelarc.com. We remove or anonymize data when it is no longer needed, subject to legal and operational requirements.
If you start signup but do not verify your email, we delete the pending account record and its verification tokens after seven days.
After account deletion, we retain a keyed-HMAC trial-eligibility fingerprint derived from the normalized email address solely to determine whether the same address has already received a trial and to prevent repeat trials. The fingerprint is not the raw email address and is not reversible to the email or usable to match an address without the separate secret key. We retain it while the trial program operates, then delete it when it is no longer needed for that purpose.
Security
We use reasonable technical and organizational measures to protect your information, including encrypted transport and hashed passwords. No method of storage or transmission is completely secure, so we cannot guarantee absolute security.
Changes to this policy
We may update this policy as the product evolves. We will revise the “last updated” date above and, for material changes, provide additional notice where appropriate.
